Invoice collection guide
Invoice reminder email templates for before and after the due date
Friendly, direct invoice reminder templates for upcoming, due, overdue, and seriously overdue invoices.
Match the tone to how late the invoice actually is
A reminder three days before the due date should not sound like a collections notice. A reminder two weeks after the due date should not sound as vague as the first heads-up. Escalate clarity before you escalate emotion.
Always verify the invoice number, due date, amount, payment instructions, and customer contact before sending. If there is a dispute or the customer replies with a problem, stop the automated sequence and handle the issue.

What automation should do
- Send reminders on the schedule you chose.
- Respect business days, local time, and the invoice due date.
- Stop immediately when the invoice is paid, cancelled, paused, or the customer replies.
- Keep a history of what was sent and when.
- Escalate a long-overdue invoice to a human instead of emailing forever.
Keep reminders separate from disputes
Automation is useful for ordinary non-response. It is not a substitute for resolving a billing dispute. If a customer says the amount is wrong, the work is incomplete, a purchase order is missing, or they need a corrected invoice, pause the reminders and deal with the underlying issue.
ChaseQueue treats a reply as a stop signal so the business can take over instead of sending another automated message into an active conversation.
